Your personal data
We process personal data about active/prospective/former members of ACEVO,customers, service users (including users of our website), suppliers, partners, business contacts, staff and trustees.
ACEVO collects equality, diversity and inclusion data from our employees, job applicants, volunteers and members. We use this data to develop a better understanding of how fair and equitable our practices and services are, as well as to monitor our progress as an organisation which is open and inclusive to a diverse group of people.
We process personal information on our members to develop a better understanding of which benefits and services they are engaging with. We may also use this information to send relevant communications to members on benefits and services we believe they may be interested in based on their reason for joining, past involvement, area of interest, geographical location, etc.
We also store and use photographic images and video footage, usually taken during our events, of members, staff, trustees and event attendees. We use these to promote our cause on our social media platforms and website. You have the right to object to this. If you wish to do so, please contact us at info@acevo.org.uk or 020 7014 4600.
We will disclose your information only if required by law, if necessary to provide you with a purchase, benefit or service, to administer your event booking or with your consent. On occasion, we may ask to share your information with one of our corporate partners. We will only do this with your consent.
ACEVO may transfer personal data to external organisations contracted to provide direct operational services for us (including website hosting, cloud services, communications processing, financial processing). Unless you have given consent, this does not extend to any arrangement to enable the external organisation to contact you on its own behalf or enable any other party to do so.
If any of these external organisations are in countries outside the United Kingdom or the European Economic Area, we will require them to comply with additional requirements and to demonstrate that they follow best practice guidelines for data protection.
The Data Controller is ACEVO (the Association of Chief Executives of Voluntary Organisations, company registration number 03514635). Data Protection is overseen by the head of finance and operations, who can be contacted via info@acevo.org.uk.
Customers and previous members
If you register on our website, we will store your name, job title, organisation and contact details and may use this data to provide you with further information about ACEVO or to assist you in completing your purchase.
If you have ever purchased a membership or publication, booked to attend one of our events or requested to receive our newsletter, we will process personal information such as your name, your organisation’s name, your job title, contact details, as well as additional information relating to your membership, purchase or event booking.
To administer a purchase or event booking, ACEVO may communicate with staff in your organisation (e.g. a personal assistant, finance officer or other relevant staff).
ACEVO processes personal information for various purposes, which include some or all of the following:
- To administer your purchase or event booking and facilitate your attendance
- To contact you from time to time with information relating to our services, activities and offers
- To better understand how people use our services, events and publications
- To solicit feedback on our services, events and publications in order to make improvements and increase our impact
- To determine the effectiveness of promotional campaigns and advertising.
This information will be deleted after three years if you have expressed no further interest in ACEVO. You have the right to object to this processing. If you wish to do so, please contact us at info@acevo.org.uk or 020 7014 4600.
Please bear in mind that if you object this may affect our ability to carry out the tasks above for your benefit.
You may unsubscribe from our communications at any time by clicking unsubscribe on the email or emailing info@acevo.org.uk.
If you book to attend an ACEVO programme, event or activity we will publish your name, job title, organisation within the participant group and circulate to other attendees as part of the joining instructions.
We will also disclose your details to the third-party event venue, to arrange event attendance, if you have specific dietary requirements, access needs etc.
If you express no further interest in ACEVO, we will remove your personal data from our database after three years or three years after the end of your membership (whichever is later). We will keep an anonymous record of your membership, purchase or event booking for analysis to improve our offer.
Members
As a part of your membership, we will contact you with relevant information in the form of regular newsletters and event updates and, from time to time, seek information about you/your views/your organisation. You can manage your communication preferences at any time by clicking manage my preferences or unsubscribe on the email or emailing info@acevo.org.uk. Please bear in mind that if you unsubscribe from these communications, you may not receive information which will help you make the most of the benefits of ACEVO membership.
If you choose to stop receiving our communications, we will still need to process your data to carry out our contractual obligation to you and manage your rights under ACEVO’s constitution. This will include contacting you regarding the administration of your membership e.g. membership renewals and payments. We may also contact you regarding the role of members in the running of ACEVO, for example at any general meetings and board elections. It is therefore not possible for members to unsubscribe from such administrative or transactional communications.
ACEVO may publish and share the names of the organisations by which its members are employed or otherwise engaged, but this will not include personal data.
ACEVO’s member support team provide a range of services detailed on our website. To ensure we deliver the highest possible level of service to you, we need to process your data so that we can respond to the best of our ability to any issue you share with us. ACEVO Community
ACEVO Community is an online hub for our members to connect with, support and inspire one another. It’s a place for members to ask questions of each other, a rich resource of shared learning and experiences, somewhere to seek and offer advice and support, and the chance for members to network outside of our programmes of events.
Members in the Community will have their name, job title and organisation visible to other Community members along with any information they choose to add to their profile. If at any point a member does not wish to be part of the Community, they can login to the ACEVO website, go to ‘My profile’ then ‘Manage my preferences’. Members who leave the Community will no longer have their profile visible but any contributions they have previously made will remain.
A daily digest email is sent every morning to all Community members. To change or turn off Community emails, use your registered username to log into the Community and follow the instructions set out on the Manage my Community emails page.
Potential members
In the course of their activities, members of the ACEVO team may obtain your details from, for example, business cards, event delegate lists, conversations, referrals and recommendations.
We also undertake desk-based research using publicly available sources, to identify social sector leaders who may be interested in being part of ACEVO. If we obtain your details in this way, we will inform you that we have obtained your details and inform you of ACEVO’s services, activities and offers. We will make it clear how to object to the processing of your data and you may unsubscribe from further contact at any time.
If you express no further interest in ACEVO, we will delete your data after three years.
Speakers
If you are a speaker at an ACEVO event, or a trainer for a workshop or programme, we will publicly promote your involvement. This may include on our website, in our marketing and member communications, and on social media and event platforms.
Job seekers and recruitment contacts
If you register with ACEVO Jobs, we will store your name, email and CV for you to submit in relation to multiple jobs and to receive job alerts. We may also use these details to inform you of ACEVO’s services, activities and offers. We also undertake desk-based research using publicly available sources, to identify individuals responsible for recruitment at charitable organisations who may be interested in the ACEVO Jobs service. If we obtain your details in this way, we will inform you that we have obtained your details and inform you of ACEVO’s services, activities and offers. We will make it clear how to object to the processing of your data and you may opt out of further contact at any time.
Policy work contacts
If you let us know that you wish to be kept updated about any aspect of ACEVO’s policy work or respond to one of our surveys, we will process your personal details. We use Survey Monkey to process all information collected through our surveys and any personal data obtained will be stored securely and deleted two years after the completion of the relevant policy work.
Other individuals
During the course of their work our team may obtain personal details from individuals including colleagues in other organisations, programme applicants, journalists, government officials, venue administrators etc. This information is required to undertake daily administration and is stored in a central system to ensure the security of your personal data.
